Terms and Conditions
1. General
By booking a place at any Venture Camps holiday camp, you agree to the following terms and conditions. Please read them carefully before completing your booking. These terms apply to all children attending any Venture Camps holiday camp, after school club or sports club.
2. Bookings and Payments
All bookings must be made in advance through our website or approved booking system.
Full payment is required at the time of booking to secure your child’s place.
Block bookings must be paid for in full at the time of booking.
Prices are subject to change. Any changes will be communicated in advance and will not affect confirmed bookings.
Your booking is only confirmed once payment has been received and you have received a confirmation email.
3. Cancellations and Refunds
Cancellations made more than 14 days before the start of the booked session will receive a full refund.
Venture Camps reserves the right to cancel or modify sessions due to circumstances beyond our control, including but not limited to severe weather, venue issues or insufficient bookings. In such cases a full refund will be offered.
Refunds will be processed within 10 working days.
4. Drop Off and Collection
Parents and guardians are responsible for dropping off and collecting their child at the agreed times.
Children will only be released to the named parent, guardian or authorised person listed at the time of booking.
Any changes to collection arrangements must be communicated to us at the start of the camp day and we may ask for ID or passwords to ensure a safe pick up.
Late collection may incur an additional charge.
5. Health and Medical Information
All medical information, allergies and additional needs must be disclosed at the time of booking.
It is the responsibility of the parent or guardian to ensure that all information provided is accurate and up to date. Any changes to a child’s medical or health information must be communicated to us before the relevant session. Children who are unwell should not attend camp. If a child becomes unwell during a session, a parent or guardian will be contacted to arrange collection. Venture Camps always have qualified first aiders on site, however staff are not medically trained. In the event of a medical emergency, the appropriate emergency services will be contacted immediately.
6. Medication
If your child requires medication during the camp day, this must be declared at drop off. All medication must be provided in its original packaging, clearly labelled with your child’s name and dosage instructions. All medication must have a prescription with it. Staff will administer medication only where written consent has been provided by the parent or guardian.
7. Behaviour and Code of Conduct
We expect all children to treat staff and fellow campers with respect at all times. Bullying, aggressive behaviour or deliberate damage to equipment or property will not be tolerated. In the event of serious or persistent misconduct, Venture Camps reserves the right to remove a child from the camp without a refund. Parents and guardians are expected to support our code of conduct and behave respectfully towards Venture Camps staff at all times.
8. Safeguarding
The safety and wellbeing of every child in our care is our highest priority.
All Venture Camps staff are DBS checked and trained in safeguarding procedures.
Any safeguarding concerns will be handled in accordance with current legislation and best practice guidelines.
9. Photography and Media
Venture Camps may take photographs or videos during sessions for use on our website and social media channels.
If you do not wish for your child to be photographed or filmed, please notify us in writing at the time of booking.
We will never share images that identify individual children by name on public platforms without prior consent.
10. Liability
Venture Camps takes all reasonable steps to ensure the safety of children in our care.
Venture Camps cannot be held liable for loss or damage to personal belongings brought to camp.
We recommend that children do not bring valuable items, large sums of money or electronic devices to camp.
11. Changes to Terms and Conditions
Venture Camps reserves the right to update these terms and conditions at any time.
Any updates will be posted on our website and will apply to all future bookings made after the date of the update.
